This is a known problem that exists in the QuickBooks qbXML SDK from Intuit, caused by QuickBooks when upgrading an existing QuickBooks company file to the new 2006 (or 2007) USA format, creating a new company file, or even adding new user accounts to QuickBooks.

The original QuickBooks work-around for this issue was provided by Peter Vogel at Intuit however I have added the additional elements regarding QuickBooks user accounts and screen dumps to make things clearer - please contact him should you have ongoing issues involving this bug in QuickBooks USA editions 2006 and greater.

IMPORTANT UPDATE: Intuit Engineering is currently attempting to drill to the root cause of this problem. We believe the target is to have a fix for QB2008R3 (that's USA editions of QuickBooks 2008 Release 3, sooner if the problem is identified sooner).

NOTE: These instructions require you to use the "Admin" QuickBooks Admin account, you can't use a QuickBooks user acccount.

In the meantime, here is the best workaround for the problem :-

  1. Make a backup using QuickBooks and then close QuickBooks
  2. Browse to the folder where the .QBW file is stored.
  3. Create a folder named "backup"
  4. Select all files EXCEPT the .QBW file that have the same name as the .QBW file (i.e if the file is foo.QBW then select foo.QBW.TLG, foo.lgb, etc.)
  5. MOVE the selected files to the backup folder you created in step 3.
  6. Start QuickBooks
  7. Open your company file, using the "File" menu, "Switch to Single-User Mode" (if you're running your company file in multi-user mode).
    Remove all QuickBooks user accounts for the company file (if you have setup users) 
  8. Edit/Preferences/Integrated applications...
  9. Remove all "Flexquarters QODBC" records
    Re-add your QuickBooks user accounts for the company file (if you have setup users)  
  10. Close the preferences dialogs
  11. Connect QODBC using VB Demo, do NOT specify unattended mode. When QODBC starts, QuickBooks will ask you permission for this driver to access your QuickBooks data. Check the "Allow this application to access NI or Social Security Numbers, customer credit card information, and other personal data" options and answer "Yes, Always” to this and the QODBC driver is added to the Integrated Application list.

    If you're using QuickBooks 2006 or 2007 in multi-user mode, you can also select the user account QODBC could use, but for unattended mode you must select QuickBooks "Admin" account:-

    Confirm that you want to allow this access by clicking on "Yes". This will allow applications to integrate with QuickBooks data when QuickBooks is running on the desktop.

     

  12. Close all applications using QODBC and make sure all the connections are closed. Using the QODBC Setup Screen General Tab, check the Locate a company file: option. This allows you to setup the full path to where your QuickBooks data file resides. For example: “C:\Program Files\Intuit\QuickBooks Pro\Myapp.qbw”.

    The [Browse] button will let you choose your QuickBooks company file from the folder it is in.

    To use the QODBC auto-login unattended mode you must specifiy the full path of the QuickBooks company file you wish to connect to.

    The Advanced tab in QODBC Setup v6 Build 148 and later now has new defaults for Integrated Application Defaults Authorization popup settings. These settings are only available to USA QuickBooks 2005, 2006 and USA QuickBooks 2007 users, otherwise they are greyed out. Use these settings to allow "auto-login" with or without a visible QuickBooks User Interface.

     

  13. Using the QuickBooks menu, select Edit/Preferences/Integrated applications and check that you have to authorized QODBC to login to QuickBooks automatically. To do this you must start QuickBooks as the Administrator. Go to the "Edit-Preferences" menu item in QuickBooks. Then select the "Integrated Applications" icon from the left side.

  14. Find your app, choose properties... and set/check unattended mode up for the user "admin". Then highlight one application (usually FLEXquarters QODBC) and press the "Properties" button and click on the Company tab. Check the "Allow this application to access this company file".

    And check the "Allow this application to login automatically" and select a user from the "Login As" drop down. You will need to repeat this for all the applications on the list that you use.

    You should also check the "Show Reminders List when opening a Company file" preference is unchecked.

     

  15. Close preferences

  16. Close QuickBooks

  17. Run the application in unattended mode 

If Unattended mode still does not work  
Remove the QODBC integrated application entries from the original QuickBooks 2003/2004/2005 company file, then allow QuickBooks 2006 (or 2007) to upgrade the company file to the new format and then have your applications connect the company files with QuickBooks and the company file open to set up the integrated application options again.

I just recently upgraded to 2006, attended mode works, unattended mode does not, tried 17 steps, can not do in order listed (not possible), but was successful on an isolated file, however, this is not practical as removing all of those files from the server directory where the data files reside will stop users from being able to access the files.  I moved the file I am successful with back to my desktop, worked in unattended mode, moved back to the server location and it does not work.  I have spent a coup;e of thousand dollars putting these drivers (QReportGrabber and the QODBC driver on several of my departments machines within the last three weeks, and this is pretty frustrating situation.  When will you have a solution which is not a "workaround", and one that is actually practical in a multi user enviornment?

We're sorry, but as stated clearly at the start ot this topic, this is a known problem that exists in the QuickBooks qbXML SDK from Intuit, caused by QuickBooks when upgrading an existing QuickBooks company file to the new 2006 USA format, upgrading to QODBC 6.00.00.150 or higher from a earlier 6 build, or even adding new user accounts to QuickBooks. It not only affects QODBC but all integrated applications users and SDK developers in USA.

While I appreciate your frustration, your opinions might be better voiced to your QuickBooks Account Representative.

Have you been able to test this "bug feature" in Quickbooks 2007.

The bug prevents what I have to do with quickbooks. That needs to run in an un attended mode because there no other way. I have to export invoices from custom application application to several Quickbooks accounting files. And be able to read current outstanding amounts and more from the same Quickbooks account file.
The whole import/export process needs to run from one decicated workstation doing these processes in scheduled way. I can not do a query while running in my application. That would be to time costly and it is very possible that Quickbooks is used for working in what ever quickbooks company file. And as far as I tested you can only connection to one quickbooks file on one computer because quickbooks only allows one to be open.

The limitation is that QuickBooks can only open one company file at a time. You can setup several DSNs that connect each specified company file required in unattended mode. From there, you open and close the connection, wait 10-20 seconds and open the next DSN and so on until your process is complete.

Yes, but you need to check that the path to your company file isn't too long. QuickBooks 2007 moves your company file's location when it converts it to the new 2007 format.

Has this issue been corrected in the new version of QODBC and does the new version work with Quickbooks Enterprise 6? Or have the latest QBE 6 service packs fixed it?

I should note that we are running version 6.00.00.155 of QODBC. Does maybe the latest 6 0 QODBC release fix this issue?

This issue is an Intuit SDK issue, not QODBC. Intuit required us to change unattended mode access for QuickBooks 2005 and 2006, which we did from QODBC v6.00.00.150 onwards. Unfortunately, all 2005 company files that have been accessed previously by QODBC have this problem when the company file is converted by QuickBooks to the new 2006 or 2007 Sybase Anywhere backend format. The conversion corrupts the internal integrated applications settings and you need to do this 17 step procedure.

To All trying to get this to work: SUCCESS - TRY THIS

I follow all of the steps outlined here, several times, it didn't work.  I even moved my company file to another location, by itself, it didn't work.  I was ready to throw my computer out the window, it still didn't work.  Reading this and another chain on this support group made me more frustrated than ever as the answer of "it's not our fault" doesn't sit well when you are trying to decide to purchase something.  I would suggest you add a step 6a, per below to your original post.

I repeated STEPS 1 to 6

6a (New Step) Removed all users and add them back into quickbooks.

Continued with steps 7 to 17, and !!!! it worked

QB USA 2006 Premier Retail - Upgraded from 2005

QODBC v7.00.00.207 (trial mode)

Unattended mode works for me!  - But, when it auto-logs in I get 5 or 6 pop-up windows real quick from quickbooks (not running),

they look like reminders or something.  Any thoughts?

I created two new company files in QBES 7.0 r8 and the auto login unattended mode does NOT work.  I.e., this issue does not solely relate to company files upgraded from earlier versions.   Any thoughts?  Any word from Intuit whether this issue is being actively addressed?

Yes, when you create a brand new company file in QuickBooks 2006 or 2007 unattended mode is broken from get go. It's actually a bug in QuickBooks that's been there for two releases. Even service packs can break unattended mode.

I agree.  Its not funny.  The 17 Step process does not work.  I've emailed everyone I can think of at Intuit, including Agus Thomson trying to express concern and get help.

Any other suggestions?  What do we do?  I'm trying to set up F9 (kind of like a Crystal Reports sandbox -- but much easier) that needs to extract data via DSN into a datamart.  I can't make that work without auto-login functioning properly.

Try copying the company file name.qbw file to a new directory folder and do the procedure again (without the backup stuff).

We are using Quickbooks Pro 2006 and I've tried to follow the 17 steps.  My issue is when I get to step 6.  Once I move the other files and then try to open the .qbw file it gives me an error message that I can't open the file.

I checked that.  I only moved the other files mentioned in the steps.  And when I try to open the QBW file, I go to the File Menu, selected Open and browse to the location the file is saved (which is on a network drive).  The Quickbooks error says something to the effect of going to the computer where the file is stored and trying to open the file from there.  When I move the other files back, I'm able to open the Quick Books file again with no problems.

Please contact QuickBooks support directly for support on using QuickBooks or try just copying the .qbw file to your local drive.

Remember that when using unattended mode, you have to use 'Locate a company file' or a QODBC connection string with "DFQ=C:\Program Files\QODBC Driver for QuickBooks\sample04.qbw" rather than 'Use the company file that's now open in Quickbooks' and QuickBooks can't be running already!

Note: R5 (and later) for QuickBooks 2008 has the fix, not R11 (or later) for QuickBooks 2007 or 2006 !!!!

When I select "Locate a company file" do I leave the "Select Company file" field blank?  We'll be connecting to multiple quickbooks files through MS Access (one at a time).   

I did read your post that QB 2008 has the fix but the client is reluctant to upgrade to QB 2008.

How do you create multiple DSN's in the QODBC setup screen?  It appears to me as if it only allows one connection to be created there?

I just talked to Intuit to further troubleshoot my issue.  I also worked worked with Oracle to trace their odbc calls and everything is okay from that side (trace log content included in the other thread).  On the call with Intuit we tried to step through the 17 steps list.  However, I can not execute the recommendation under step 14.  Everything is grey, including a blank line, except the top line.

I seem to be having this problem even though I am running QB 2008 US R5. When I run my application that uses the QODBC driver, first I start the application with QB open logged in as Admin. I get the pop-up to authorize the Flex ODBCand set it to allow login automatically. But still my application will not work if QB is closed, only when QB is open.

I have followed those instructions many times and still not able to query QB data with QB closed. As other have posted, I can see the checkbox for "Allow this application to login automatically" when QB prompts to allow access, the box is checked but also greyed out. I have QB 2008 USA R5

anyone else found a fix to this?

Make sure you've turned off reminders.  When I upgraded our client to version 8 R5, it still would not work until I had them answer the pop-up reminder about turning on security when customer credit card info is stored.  Once they did this and changed to more secure passwords, it worked okay.

I have a scheduled task to extract sales order every day then e-mail as a CSV attachment and it's been working fine for a couple weeks now.

I  understand that the issue is solved with R5 for QuickBooks 2008. But how about AuickBooks 2009, is this issue completly solved or should we have another Release?

All USA versions of QuickBooks 2009 already have the fix applied. Canadian and UK versions of QuickBooks 2009 most likely don't and the Australian version of QuickBooks 2008/09 doesn't at all.
